A suitable molding has been found in the catalog. The designer likes the sample, the price fits the budget, and there are twenty strips in stock. But the hotel needs items for eighty rooms, corridors, and the entrance lobby. The first part is to be installed now, and the next after work on the upper floors is completed. Is the initial information sufficient to confirm the purchase?

Suppliers for hotel outfitting should be evaluated based on the specific task of the property. It is important to establish which items they offer, whether they can provide the agreed volume, how they handle changes, and what will be required for a repeat order. A successful sample answers only part of these questions.

Below is the procedure for checking a supplier of stucco and trim. Trim refers to long items of a given cross-section: moldings, cornices, baseboards, battens. Stucco decor also includes individual relief overlays, rosettes, and composition elements. For a hotel, they are considered as a connected system that must be coordinated, received, and then maintained.

Why a hotel project needs more than a standard product check

The same profile may be repeated in dozens of rooms. The dimensions of frames, connections with doors, wall preparation, and the work of finishers depend on it. If after approval it turns out that the required version is unavailable, the change will affect several parts of the project at once.

Therefore, both the product and the supplier's ability to fulfill the order are checked at the same time. The item must have clear specifications. The offer must have confirmed quantity, timelines, delivery scope, and a procedure for resolving open questions.

It is useful to find out the preliminary price at the beginning in order to estimate the budget. However, a cheap profile with uncertain timelines cannot be considered equivalent to an option for which the entire required volume has already been confirmed. The final comparison is made on identical initial data.

The practical question is this: what confirms the possibility of getting exactly the agreed product by the required stage of work? The answer should be verifiable information, not a general promise to handle a large project.

Which products and works are the supplier's responsibility

First, define the boundaries of the procurement. One participant may supply moldings, another wooden panels, and a third may carry out painting. It is not necessary to look for a company that does everything. What matters is that at the joints between products, the responsible parties and agreed solutions are clear.

For an architectural decor system, check the main groups: wall moldings, ceiling cornices, skirting boards, individual overlays, and the related linear trim. In Stavros catalog you can start with the required group, then move on to specific products and finish options.

Distinguish between the manufacturer and the supplier. The manufacturer produces the product; the supplier organizes its sale and transfer to the customer. This may be one company or different organizations. For the project, it is essential to know who confirms the characteristics, obtains production information, and answers questions about the order.

Separately clarify whether the offer includes finishing, selection of compatible parts, packing by floor, or only the supply of standard products. Additional services cannot be considered included by default.

The first sign of a well-prepared offer is a precise product designation

An entry such as “classic molding about 20 mm wide” does not allow the choice to be unambiguously reconstructed. The manufacturer, article number, material, and size variant are needed. The article number is the product designation in the manufacturer's system.

For example, MLDPU-027 STAVROS is available in sizes 14 × 9 × 2600 and 20 × 12 × 2600 mm. The first two values describe the cross-section, and the third is the length of the strip. In this situation, the article number alone is not enough: the selected size must be specified separately.

In a project, a product may receive a short designation ML-01. It helps link drawings and schedules, but does not replace the manufacturer's article number. If the customer asks for eighteen more ML-01 strips, the supplier must have an agreed cross-reference table for this code.

A stable designation simplifies reordering. However, it does not mean that the range will never change: the current version and availability must be confirmed before purchase.

How to check the catalog and technical information

A working catalog allows selection by purpose, material, and dimensions. For of polyurethane moldings width, projection from the wall, length, and cross-section shape — the cross-sectional profile — are important. Polyurethane is a polymer material from which decorative profiles and relief parts, among other things, are made.

For a cornice, check the height on the wall and the ceiling projection separately. The projection shows how far the product extends from the wall. For a skirting board, check the height, thickness, and connection with the door trim. For an overlay, check the dimensions, relief, and left- or right-hand version.

Ask to show the mounting surface: the part of the component that adjoins the base. A front-facing photo does not always make it possible to understand the structure of this connection.

It is desirable for the information to be published in the product card. If there is no detailed drawing on the website, it can be requested separately. What matters is this: before a product is included in a working project, its exact specifications must be available and linked to the selected version.

Are 3D models and electronic drawings mandatory?

A 3D model helps you see the volume of the product in the future interior. An editable drawing allows its shape to be included in working materials. The DWG format is often used for such drawings; the 3D designation means a three-dimensional representation.

The value of these files lies in their correspondence to the actual product. Check the item code, dimensions, units of measurement, and version. A beautiful profile from the general selection of models does not confirm that the supplier will be able to supply exactly that one.

In the section STAVROS catalogs and drawings you can search for available materials for design. The availability of a specific file is confirmed for the selected item, and the approved option is saved together with the project.

The absence of a three-dimensional model does not by itself rule out a supplier. For some tasks, an accurate dimensional drawing and a physical sample are sufficient. It is critical that no substitution of the product occurs between the image, the technical data, and the order.

What a physical sample shows

A sample allows you to check the texture, surface, real scale, and how the parts are joined. It is placed against a door casing — the trim around an opening — a panel, or a furniture element that the profile will need to work with.

Before ordering, clarify what exactly is being offered: a small fragment, a whole strip, a set of profiles, or a finished painted part. In product samples section you can start searching for a suitable option. The availability, composition, and terms for obtaining a specific sample are agreed separately.

An unpainted fragment shows the shape and condition of the surface, but does not confirm the final color and gloss of the coating. If the painting is done by the contractor on site, its result is agreed with them on the selected material.

The product designation is kept on the sample, and it is noted which characteristics have been approved. A photograph is useful for correspondence, but its color depends on the light, camera, and screen. For a disputed comparison of the finished finish, an agreed physical reference is needed.

Why a reference number is needed

A reference room is a hotel room that is fully or partially completed, where design solutions are tested and approved before being replicated. It reveals what a single sample cannot show: how the decor sits alongside doors, furniture, lighting, and equipment.

This is where frame heights, corners, joints, profile ends, and the finished surface are checked. The supplier receives a refined list of items, and the installation team gets agreed-upon connection solutions. If necessary, questions are passed on to the manufacturer or the responsible designer.

Once approved, the item codes, materials, dimensions, and version of the solution are locked in. A version is a specific revision of documents with a date or number. Changing the profile after this requires checking the affected assemblies, not just correcting a line in the order.

If the reference room is part of the future room inventory, items already purchased for it are counted toward the total volume. A full set for this room should only be reordered if there is a genuine additional need. The fact that assembly was successful also does not remove the need to check subsequent deliveries.

Why a warehouse stock balance does not confirm readiness for a large order

Twenty strips 2600 mm long add up to 52 linear meters. A linear meter means one meter of product length regardless of its width. Such a remaining stock may help assemble a test section, but it says nothing about the ability to supply hundreds of meters by a set date.

Request information for the entire project volume: what is available now, what will need to be manufactured or obtained from the producer, what conditions must be met to start, and when each part can be ready.

Production capability is confirmed in relation to a specific order. A general phrase like "we have a large factory" does not describe the workload of the relevant area, material availability, or the lead time for the chosen finish.

Also clarify the date as of which the availability information applies and the conditions for reserving the goods for the order. Production time, readiness for shipment, and arrival at the site are different events. They must be distinguished in the delivery schedule so that installation can be planned for a suitable date.

How to verify the possibility of a repeat supply

Ask what data is retained for the order and what the next release will be compared against. The project requires an identifiable item code, material, profile, relief, surface preparation, and finish.

Agree on the critical parameters and permissible deviations — the limits within which a difference is accepted for a specific task. The inspection procedure depends on the product and the joints. A universal tolerance should not be assigned for all mouldings and all materials.

If the supplier is not the manufacturer, it is important to understand how they obtain confirmation of these characteristics and pass agreed changes to production. The presence of an intermediary does not by itself hinder the project; uncertainty in this relationship does.

For natural wood, permissible differences in shade and grain pattern are specified separately. Matching the item code and geometry does not mean that all wooden parts will look absolutely identical.

How to link the supplier to hotel room types

Show the project structure while keeping the overall list of products. For a hypothetical eighty-room hotel, it might look like this. All designations below are project codes, not STAVROS item codes.

Room type Number of rooms Decor composition
Standard 60 ML-01, KR-01, PL-01
Improved 16 ML-01, ML-02, KR-01, PL-01
Luxury 4 ML-01, ML-02, KR-01, PL-01, DK-01

Within each type, the quantity of specific strips and parts is specified according to the approved calculation. The same molding does not receive a new item code because of a different room number. Its distribution across the property changes.

This approach allows limiting the number of similar versions. Two selected moldings can serve the needs of several room categories without creating a new profile for each wall.

The supplier needs to confirm in what form they accept this structure and what complete sets they can provide. Floor-by-floor layout and numbering require separate agreement; having a general catalog does not yet mean that these services are included.

How to verify readiness to supply products by stages

Offer the supplier an example schedule. Suppose eighty rooms are arranged ten per floor from the second to the ninth, and the reference room is on the second floor.

Stage What is required What the supplier confirms
Reference room Set for one room from the total volume Composition, finish, lead time
First phase Sets for the remaining 29 rooms on floors 2–4 Quantity by line item and agreed schedule
Second phase Sets for 50 rooms on floors 5–9 Volume availability and launch conditions
Public areas Separate list for lobbies and corridors Related products and independent timelines

This is a provisional scheme that is adapted to the project. It helps determine whether the supplier can allocate the required part of the order without losing connection to the overall specification.

Total project volume, production batch, and shipment are different things. A production batch refers to the manufacture of items, while shipment refers to dispatch. A single batch may be shipped in parts, and a single truck may deliver items from several production runs.

If the entire volume has been agreed upon, this does not yet mean that it has already been manufactured and is stored at the supplier. The production sequence, storage of finished items, splitting of shipments, and related costs are discussed separately.

What to ask about packaging and labeling

For long profiles, find out how the ends and surface are protected, how the rigidity of the packaging is maintained, and how many planks are included per unit. Ask for a description or an example of packaging for items of comparable length. The mere presence of protective material does not guarantee preservation under any handling.

Labeling should make it possible to determine the contents without guesswork: item code, size variant, material, and quantity. The project designation, floor, and zone are added if such configuration has been agreed upon.

Check whether the units of accounting on the packaging and in the documents match. Linear meters describe length, but when recalculating on site, you usually need to know the number of whole planks of a specific length.

Also clarify who receives the material and where information about shortages or damage is passed on. If the supplier does not prepare floor-by-floor sets, this work can be organized on site. In that case, its time and cost are included in the comparison of offers.

How the supplier coordinates changes and disputed items

Before the main purchase, ask whom to send a technical question to and who confirms a change. It is desirable to have one clear procedure: replacement proposal, review by the designer, approval of the new version, order update.

The phrase "we will bring a similar molding" does not describe a replacement. It is necessary to compare the material, profile, dimensions, commercial length, and related parts. Commercial length is the length of a whole supplied plank before cutting.

If a discrepancy is found during acceptance, the disputed items are separated from the accepted ones, the marking is preserved, and it is recorded what they were compared against. Then the scope of the affected delivery and the possible solution are clarified. It is not advisable to install the differing parts before approval, so that you don't have to search for them on every floor afterwards.

It is also useful to evaluate a supplier by how clearly they explain this process. The responsible person, a clear list of the required information, and the conditions for reviewing the matter are important. A promise that "there are never any problems" does not replace such a procedure.

What is needed for a reorder

The repeat request must reference the original item: manufacturer, article number, size, material, finish, sample number, and the previous order. Add the current version of the project, the quantity, and the required date.

Clarify in advance whether minimum volumes exist for the chosen specification, how the lead times for a small order are confirmed, and what happens if the assortment changes. The answer may differ for a standard profile and an item with a custom finish.

The supplier is not obliged to promise that the catalogue will remain unchanged for decades. For a hotel, a clear procedure for checking availability and approving a possible replacement is more useful.

If a part is needed to repair an existing room, its proximity to the installed finish is assessed separately. Old paint may change the shade, so matching the original sample does not always mean an invisible insert into a wall in use.

Why the repair stock is discussed before the hotel opens

The installation stock is intended for current work: additional trimming, accidental damage, or adjusting a specific section. The repair stock must remain after the project is handed over for future restoration.

These quantities are recorded separately. Offcuts produced during cutting do not replace a stock of whole planks if a long piece without an intermediate joint is needed for repair.

Quantity is determined by specific items. Baseboards in a hallway, moldings behind furniture, and a rare paired trim piece have different operating conditions and consequences of shortage. A universal percentage does not account for these differences.

Request the storage conditions for the selected material and finish. Provide the management organization with a list of leftovers, product designations, and finishing details. A repair kit without labeling eventually turns into a set of similar parts that are difficult to use with confidence.

When choosing a supplier, also find out whether they can help restore the exact specification using the saved order documents when the employee who handled the original purchase is no longer involved in the project.

When to choose polyurethane molding

Polyurethane moldings can become the basis for repeating frames, decorative bands, and relief compositions. For a hotel project, it is important to choose a specific product and confirm its suitability for the place of application.

Before buying polyurethane molding, clarify the condition of the supplied surface, the requirements for subsequent finishing, and the compatibility of the parts. Do not assume that any white strip is a finished painted product without confirmation of its specification.

If the composition includes molded decoration made of polyurethane, check that all components are available. The availability of the main molding does not yet confirm the availability of suitable corner and paired trim pieces.

The suitability of a material for a specific hotel area is assessed based on the project requirements and the documents for the selected product. A general material name or an attractive photograph does not confirm all the necessary characteristics.

When wooden trim is needed

Wooden trim are considered for matching with doors, wall panels, and built-in furniture. The natural grain can be part of the design intent, while painted profiles can continue the unified finish of the room.

Orders distinguish between oak, beech, and MDF. MDF is a panel material made from compressed wood fibers; it is not a wood species and not solid wood. If a manufacturer offers one shape in several materials, the chosen option is recorded explicitly.

Before deciding to buy wooden trim, clarify the surface preparation, the selection of wood for the intended finish, and the commercial length. Supplying a blank for finishing and supplying a finished painted product involve different scopes of work.

When the wood grain remains visible, an agreed reference for appearance is needed. At the same time, natural variations do not remove the need to check geometry and processing quality. These requirements are discussed separately so as not to confuse acceptable material variability with a nonconforming product.

How to compare the cost of offers

Compare identical sets with identical requirements. The calculation includes products, samples, the required finishing, packaging, staged deliveries, and agreed reserves. Separately account for the work that will have to be performed by the site team.

The price per meter does not show the impact of commercial length. Two similar strips of different lengths can yield different numbers of parts when cut. If additional joints are allowed, this must also correspond to the project, rather than arise as a hidden way to reduce cost.

Before buying Ceiling Molding и Baseboards, check their material using the product cards and compare the actual versions. A catalog section may combine products from different manufacturers and materials.

If one supplier confirmed ready-made sets by floor, while another offered a general delivery without distribution, the offers differ in the content of the service. A higher price does not prove an advantage, but a lower one also does not show the final cost of organizing the work.

What data to send for calculation

Prepare a request that the supplier can respond to with specifics. You don't have to create a new complex document: an agreed specification and notes on the schedule are enough.

Details What to specify
Object Hotel project name and delivery location
Room types Room categories, corridors, public areas
Design designation Item code in drawings, e.g. ML-01
Product Manufacturer, article number, and size variant
Material and surface Specific material, preparation, required finish
Quantity Whole planks and individual parts, composition of sets
Stock Separately for installation and future repairs
Stages Which items and quantities are needed by each date
Basis for selection Sample, drawing, approved version of the solution
Open questions What the supplier needs to confirm or propose

If the project is still being refined, clearly indicate preliminary data. For example, the quantity may be approximate, while the item code and material are already agreed upon. This allows for an early budget estimate without giving the false impression that the order is ready to be launched.

After the reference number is approved, send the final revision and ask to confirm the calculation based on it. The old quote may refer to a different composition of products.

Which answers require additional verification

It is worth being wary if the supplier cannot tie a promise to specific information:

  • instead of the item code and size, suggests relying only on a photograph;
  • does not confirm the cross-section or allows material substitution without approval;
  • states a general lead time without accounting for the quantity and the selected finish;
  • confuses linear meters with the number of planks without specifying their length;
  • does not explain how to check a sample, clarify the batch composition, or place a reorder;
  • continues the calculation using the old list after changes have been approved.

One missing file does not mean the company should be ruled out immediately. Ask whether an equivalent confirmation can be provided: a dimensional drawing, a sample, or a written response from the manufacturer.

But a lack of response is not recorded as a fulfilled requirement. If the question affects installation, lead time, or the suitability of the product, it is closed before the relevant part of the order is confirmed.

How to make the final decision about the supplier

Summarize the inspection results in a short table. For each row, use a clear status: confirmed, needs clarification, or does not meet the task. The assessment should relate to your project, not to the company in general.

What is being checked What the conclusion is based on
Suitable product Item code, dimensions, material, and technical details
Approved appearance Sample and inspection result in the reference number
Required volume by the deadline Confirmed offer for a specific quantity
Work in stages Agreed composition and delivery schedule
Changes and additional order Clear procedure for requests and confirmation of fulfillment
Final cost Calculation of the full agreed set and services

Such a check helps to understand which suppliers for hotel outfitting fit the timelines, volume, and layout of a specific property. A failed mandatory requirement cannot be compensated for by a beautiful catalog or a discount.

To calculate STAVROS products, select specific items polyurethane decor and trim, specify finishes, and share the project structure. Request pricing, sample availability, and confirmation of delivery by stages. Then the purchasing decision will be based on agreed products and terms that can be verified before the main order is launched.
